Project Support Specialist with French

Job description
A role to support the PMO organization for our key customers in Germany. The activities consist of project management, coordination and ownership of processes including, but not limited to proposals preparation, financial management, invoicing, forecasting, and tracking of consultants’ working hours.

Your responsibilities
Bid/opportunity management:
- Initial review of the contractual / bid documentation
- Interact with the bid team and gather input as necessary
- Preparation of the relevant initiation documentation and creation of the project in the respective reporting tools
- Open and follow up on approval requests
- Create customer proposals
- Calculation of estimated project cost / revenue / margin
- Ensure the proposal and the project budget have been approved by the responsible management
- Ensure the order is booked
- Recalculate the project budget, if required at order
Delivery phase:
- Project setup: analyze project information data and project status, organize handover meeting
- Update project status in the relevant tools and systems (monthly and quarterly forecast, risk
- management)
Manage project costs and revenues
- Reforecasting
- Collect / process time sheets and customer acceptances
- Manage invoices to customer Participating to Delivery Reviews when project is at risk
- Prepare SOW (Statement of Work) for 3rd parties and coordinate SOW signatures
- Check project status with Technical Consultants, ECO, Sales, Pursuit and Delivery Leads
Procurement requests and orders to partners:
- Write / review SOWs to partners, RFPs (request for proposals) and partner’s offer documents
- Open requests and follow up on requests for procurement support
- Contact and coordinate with suppliers whenever necessary
Our requirements
To succeed at this job, you must have:
Education (degree) and professional experience required:
- University degree
- 1,5 years in project leadership role or in similar roles / businesses
Other requirements:
- Fluent in verbal and written English
- German/French/Italian/Spanish language skills are an advantage
Personal skills and qualities:
- Very good communication, negotiation and influencing skills
- Excellent organizing abilities
- Ability to make quick and informed decisions
- Proactive and able to work under pressure
- Ability to operate effectively within a virtual (cross-cultural) team
- Customer oriented attitude
Technical skills (procedures and documents the employee has to be acquainted with):
- Experience and literacy in - MS Word, Excel, PowerPoint, Outlook, MS Project
- ITIL process knowledge is an advantage
- Project management fundamentals is an advantage
